Overview
User Management lists everyone who can sign in to your Adthena accounts. It reads straight from the live user directory, so anything you change here — access levels, domains, invitations — takes effect the moment you save it. Only Admins and Adthena staff can open this page.
Before you start
- You need Admin access, or you need to be a member of Adthena staff.
- You only see the users reachable through the customers and accounts you manage. An admin for one customer never sees another customer's users.
- Deleted users don't appear in the list, but you can restore them yourself.
Navigate to User Management
To access User Management, click the Settings (⚙️) icon located in the bottom-left corner of your Adthena account, then under Settings, select User Management from the menu.
Who appears in the list
You see the users reachable through the customers and accounts you manage, so the list is scoped to you — an admin for one customer never sees another customer's users.
Deleted users are never shown, though they can be brought back (see Adding or restoring a user below).
Note: Your own row never shows the action buttons. You cannot view, edit, or delete yourself from this page — manage your own user details from your profile instead.
Active Users and Pending Approvals
The two tabs above the table split the list by sign-in status. Switching tabs clears your search and returns you to the first page.
- Active Users – people who can sign in today: they've logged in at least once or finished setting up their account
- Pending Approvals – people you've invited who have never signed in and never set a password. From this tab you can resend their invitation or delete it to withdraw the invite
Access levels
Every user carries one of three access levels, shown as a badge in the list:
- Adthena – members of the Adthena team supporting your account. You cannot create these yourself; addresses ending @adthena.com are reserved for them
- Admin – can manage users. Admins see this page, and see every user within the customers and accounts they manage
- Standard – sees only the domains and locations assigned to them, and cannot open this page at all
A change to someone's access level applies immediately. The platform checks the level on every request, so a promoted or demoted user doesn't need to sign out and back in.
The Domains column
The count chip shows how many distinct country and domain pairs the user can access. A domain covering several locations within one country counts once; the same domain in two countries counts twice. Hover over the chip to see the full list, and None means no domains are currently assigned.
You only ever see a user's domains within the accounts you yourself hold, so a colleague with wider access may see a higher count for the same user.
Finding a user
Type in the search box to match part of a name or email address; matching text is highlighted in the table.
The domain and location filter opens preset to the domain of the account you're viewing, with every location ticked. Narrow it to specific locations, switch it to another domain, or clear it to return to that preset — a user matches when any of their assigned locations falls inside your selection.
Click the Name, Email, Access Level, or Status header to sort, and click it again to reverse the order.
Note: Your tab, filter, sort, and page choices are stored in the page address, so copying the URL shares the exact view you're looking at with a teammate — only the search box stays out of the address.
Adding or restoring a user
Select + Add New User to open a three-step wizard:
- User Information & Access Level – enter First Name, Surname, and Email (required), plus optional Job Title and Role Description, then choose Admin or Standard access. The email address is checked as soon as you finish typing it: an address that already has an active account or a pending invitation is blocked, and addresses ending @adthena.com are reserved for Adthena staff and raise a warning asking you to use a work address instead
- Domains & Locations – select at least one domain and location for the user
- Summary – confirm the user's details and privileges before submitting
Submitting sends an invitation email with a sign-up link that's valid for 48 hours.
Note: If the address belongs to a previously deleted user, the wizard switches to restore mode and the submit button reads Restore User — the old account is brought back with the details you enter, and a fresh invitation is sent.
Editing a user
Click Edit on a user's row to walk through the same three-step wizard, with the email address locked. You can:
- Change the name, job title, or role description
- Promote a Standard user to Admin, or demote an Admin to Standard
- Reassign domains and locations
When your edit changes something, the edited user automatically receives an email describing exactly what changed.
Resending an invitation
For a user on the Pending Approvals tab, click Resend invite to send a brand-new invitation email with a fresh sign-up link. Links stay valid for 48 hours from when their email was sent, so an earlier link that hasn't expired keeps working.
Deleting a user
Click View on a row to open a read-only profile listing every domain and its locations, or click Delete to remove the user.
Delete asks you to confirm, then removes the user from the list and ends their access on the spot — any sessions they have open are signed out immediately.
Guidance: deletion is reversible. Add the same email again through Add New User to restore the account.
